Custom Workflows
Custom Workflows give you a flexible way to track the processes and statuses that matter most to your production workflow. While stages tell you where a track is in its journey, workflows let you define and apply specific work processes—like “Needs Mix Review” or “Awaiting Master Approval”—so you can see at a glance what’s happening with each song.
The Workflows widget sits in the activity panel alongside your other track tools. It lets you assign one or more workflows to any track, search through your available options, and even create custom workflows tailored to how you actually work.
Accessing the Workflows Widget
Section titled “Accessing the Workflows Widget”The Workflows widget appears in the activity panel when you have one or more tracks selected in the grid view.
To open the widget:
- Click any track in your grid to select it
- The activity panel slides open on the right side
- Scroll down until you see the Workflows heading with a document icon
You can also multi-select tracks by holding Shift or Cmd/Ctrl while clicking. The widget adapts to show bulk apply options when multiple tracks are selected.
Understanding Workflow Categories
Section titled “Understanding Workflow Categories”Workflows are organized into four categories to help you find what you need quickly:
Production
Section titled “Production”Workflows related to the creative and technical production process. These might include “Draft In Progress,” “Awaiting Feedback,” or “Revision Needed.”
Finishing
Section titled “Finishing”Workflows for the final polish phase. Think “Mix Review,” “Master Pending,” or “Final Approval.”
Business
Section titled “Business”Workflows for the administrative and promotional side. Examples include “Contract Pending,” “Distribution Setup,” or “Marketing Materials.”
Custom
Section titled “Custom”Your own user-created workflows appear here. This is where you’ll find any workflows you’ve built specifically for your workflow.
Assigning Workflows to Tracks
Section titled “Assigning Workflows to Tracks”The workflow pills in the widget show you all available options. Selected workflows appear highlighted with their category color and a checkmark.
To assign a workflow:
- Select your track(s) in the grid
- Open the Workflows widget in the activity panel
- Click any workflow pill to toggle it on
- The widget shows a green Save button when changes are pending
- Click Save to confirm your changes
To remove a workflow:
- Click the highlighted workflow pill again to deselect it
- Click Save to apply the removal
Your changes apply instantly in the interface, with the backend syncing in the background. If something goes wrong, the UI will update to reflect the saved state once the sync completes.
Searching and Filtering Workflows
Section titled “Searching and Filtering Workflows”When you have many workflows available, the search bar helps you find the right one fast.
To search:
- Type in the search field at the top of the Workflows widget
- Results filter in real-time as you type
- Matching workflows appear grouped by category
To create from search: If you type a workflow name that doesn’t exist yet, a blue Create button appears below the search results. This is a quick way to add new workflows without leaving the widget.
Creating Custom Workflows
Section titled “Creating Custom Workflows”Sometimes the built-in workflow categories don’t quite fit your process. That’s where custom workflows come in handy.
To create a custom workflow:
- Type your desired workflow name in the search field
- Click the blue Create “[your workflow name]” button that appears
- Your new workflow is added to the Custom category immediately
- It appears with a small × button for easy deletion later
Custom workflows are personal to your account. Other collaborators won’t see your custom workflows, though they will see any custom workflows they’ve created themselves.
Tips for Naming Custom Workflows
Section titled “Tips for Naming Custom Workflows”- Use clear, action-oriented names like “Awaiting Vocal Take” or “STEMs Exported”
- Keep names short enough to fit in the pill display
- Consider adding version context like “Client Review v2” if you need to track multiple review cycles
Deleting Custom Workflows
Section titled “Deleting Custom Workflows”If you create a workflow that doesn’t stick, you can remove it just as easily.
To delete a custom workflow:
- Find the workflow in the Custom category (or search for it)
- Click the small × button in the top-right corner of the workflow pill
- The workflow is removed immediately
Deleting a workflow removes it from all tracks that had it assigned. If you’ve applied this workflow to multiple tracks, those assignments will be cleared.
Working with Multiple Tracks
Section titled “Working with Multiple Tracks”When you select two or more tracks, the Workflows widget shows a banner indicating how many tracks are selected and provides bulk apply options.
Bulk apply modes determine how workflows are applied when you have multiple tracks selected:
- Replace all — clears existing workflows on all selected tracks and applies only your new selections
- Merge — adds your new workflow selections to whatever workflows already exist on each track
You can change the default bulk apply behavior in your Settings under Bulk Apply Options. The widget will show which mode is currently active.
Visual Indicators
Section titled “Visual Indicators”Workflows display with color-coding based on their category:
- Production — blue tones
- Finishing — purple tones
- Business — green tones
- Custom — amber/yellow tones
When a workflow is assigned, its pill fills with the category color and displays a checkmark. Unassigned workflows appear as muted outline pills that darken slightly on hover.

Use workflows for action items — Stages tell you where a track is; workflows tell you what needs to happen next. If you find yourself using a workflow like a stage, consider whether a stage would serve you better instead.

Keep your custom list manageable — It’s easy to create lots of custom workflows, but too many becomes overwhelming. Audit your custom workflows every few months and delete ones you’ve stopped using.

Combine with due dates — Pairing workflows like “Awaiting Feedback” with a due date helps you follow up before deadlines slip.

Bulk assignment saves time — When setting up a batch of tracks for the same process (like sending multiple songs out for mixing), select them all and apply the workflow in one action.
