Managing Share Links
Share links let you distribute your music to anyone — collaborators, labels, playlist curators, or fans — with control over what they can download and for how long. Producer Dashboard integrates directly with Dropbox to serve your files, making the sharing process seamless and professional.
This guide walks you through creating share links, managing who has access, and tracking how your shared content performs.
What You Need Before Starting
Section titled “What You Need Before Starting”Before you can create share links, you’ll need to connect your Dropbox account to Producer Dashboard. This connection is essential — all file serving for share pages uses Dropbox temporary links to keep your files secure.
If you haven’t connected Dropbox yet, head to Settings and follow the prompts to authorize access. Once connected, you’re ready to start sharing.
Creating a Share Link
Section titled “Creating a Share Link”Share links are created from the Files widget when you have tracks selected. Here’s how it works:
Single Track Sharing
Section titled “Single Track Sharing”- Select a track from your grid by clicking it
- Open the Files widget in the activity panel
- Choose the files you want to share (bounces, stems, project files)
- Click the Create Share Link button
- Configure your share settings — we’ll cover those below
- Copy your generated share URL and send it wherever you need
The share link is unique and randomly generated, so it can’t be guessed by others.
Sharing Multiple Tracks
Section titled “Sharing Multiple Tracks”You can share up to 50 tracks at once using a playlist share link. This creates a single URL that displays all selected tracks together, like a mini-portfolio page.
- Select multiple tracks from your grid (hold Shift or Cmd/Ctrl to multi-select)
- Open the Files widget
- Choose files from the selected tracks
- Click Create Share Link
- Your playlist share link will include all tracks and their associated files
Share Settings
Section titled “Share Settings”When creating a share link, you have several options to control the experience:
Download Permissions
Section titled “Download Permissions”Decide what types of files recipients can download:
- Audio files — MP3, WAV, FLAC, stems
- Project files — Ableton, Logic, Pro Tools sessions
- All files — everything you’ve included
You can enable or disable any combination of these. If you disable downloads, recipients can still listen and preview your tracks but won’t be able to download the files.
Expiration
Section titled “Expiration”Set how long your share link remains active:
- Never expires — the link works indefinitely
- Custom expiration — choose a specific number of days (useful for label submissions or time-sensitive feedback)
Expired links return a friendly message to anyone who clicks them, letting them know the content is no longer available.
Track Selection
Section titled “Track Selection”When sharing multiple tracks, you can:
- Share all tracks from a folder or bucket
- Select specific tracks individually
- Mix and match across different buckets
The system automatically resolves any track groups, ensuring recipients see the latest versions of each track.
Sharing with Collaborators
Section titled “Sharing with Collaborators”If you’re working with collaborators on a track, Producer Dashboard makes it easy to share directly with them.
How It Works
Section titled “How It Works”When you share with collaborators, the system:
- Identifies all collaborators on the selected track
- Organizes your files in Dropbox (either as a shared folder or individual files)
- Sends email invitations to your collaborators with access details
Collaborators receive a notification based on their account type:
- Producer Dashboard users — receive an in-app notification and email with the share details
- Non-users — receive an email with instructions to access the shared Dropbox content
Checking Share Status
Section titled “Checking Share Status”The Share widget shows you the current sharing status for each collaborator:
- A green dot next to their name means they’ve been granted access
- A gray dot means they haven’t been shared yet
- A partial share indicator shows when some collaborators have access but others don’t
Bulk Sharing
Section titled “Bulk Sharing”Need to share multiple tracks with their respective collaborators? Use the bulk share feature:
- Select all the tracks you want to share
- Open the Share widget
- Click Share All with Collaborators
- The system processes each track individually, skipping any without collaborators
This is perfect for end-of-project sharing when you want to distribute final files to everyone involved.
Tracking Engagement
Section titled “Tracking Engagement”Once your share links are out in the world, you can monitor how they’re performing.
Access and Download Counts
Section titled “Access and Download Counts”Every share link tracks:
- Views — how many times the share page has been opened
- Downloads — how many times files have been downloaded, broken down by file type
This data appears in your share link management view, letting you see which content resonates most with your audience.
Download Tracking Details
Section titled “Download Tracking Details”When someone downloads a file, the system records:
- Which track was downloaded
- What file types were downloaded
- Total download count across all files
This granular tracking helps you understand which songs generate the most interest and which file formats people prefer.
Revoking Access
Section titled “Revoking Access”If you need to stop sharing, you can revoke access at any time.
Revoking Share Links
Section titled “Revoking Share Links”From your share link management view:
- Find the share link you want to revoke
- Click the options menu (three dots)
- Select Revoke Link
- Confirm the action
Once revoked, the link immediately stops working. Anyone clicking it will see a message indicating the share has been disabled.
Removing Collaborator Access
Section titled “Removing Collaborator Access”To remove a specific collaborator’s access:
- Open the Share widget for the track
- Find the collaborator in the list
- Click the remove button next to their name
- Confirm
Their Dropbox folder access is revoked, and they’ll no longer be able to view or download files from that track.
